Position Overview
As a Data Entry & Administrative Operations Specialist at arenaflex, you will play a crucial role in supporting our fulfillment center operations and business functions. This position is designed for individuals who are detail-oriented, organized, and eager to learn. What You'll Do
As an integral part of our operations team, you will be responsible for a variety of tasks that keep our fulfillment centers running smoothly. Your contributions will directly impact our ability to serve customers efficiently and maintain our high standards of service quality. Here's what you can expect in this role:
- Data Management & Entry: Perform accurate and efficient data entry tasks, including inputting order information, updating inventory records, and maintaining database integrity. You'll be responsible for entering, verifying, and organizing large volumes of data while ensuring precision and attention to detail.
- Report Generation & Analysis: Create and maintain detailed reports, including monthly performance summaries, inventory status updates, and operational metrics. You'll generate PowerPoint presentations for leadership reviews and update key performance indicators using advanced Excel functions and other Microsoft Office tools.
- Shipping & Receiving Coordination: Prepare and process all incoming shipments, including LTL (Less-Than-Truckload) and parcel deliveries. You'll coordinate outbound loads, track shipments, and ensure proper documentation for all warehouse movements. This includes managing yard operations and coordinating with transportation partners.
- Procurement Support: Assist with purchasing and managing supplies for the fulfillment center, including office supplies, operational materials, and equipment necessary for daily operations. You'll work closely with vendors and internal teams to ensure timely availability of resources.
- Financial Administration: Manage invoicing for maintenance and utilities, processing payments and maintaining financial records. You'll handle weekly and monthly billing cycles, reconcile accounts, and ensure accuracy in all financial documentation.
- Document Management: Recover, organize, and file paperwork from various departments on a daily basis. You'll maintain electronic and physical records, ensuring easy retrieval and compliance with company documentation standards.
- Customer Support: Provide responsive support to customers via phone and email when needed. This includes handling inquiries, resolving issues, and ensuring a positive customer experience. You'll serve as a backup resource during peak periods or team absences.
- General Administrative Support: Perform various office support duties, including managing correspondence, scheduling appointments, and assisting with special projects. You'll contribute to overall team effectiveness by handling ad-hoc responsibilities as needed.
