Our operations are scaling faster than our admin infrastructure. We need someone sharp, reliable, and genuinely proactive to support our leadership team across scheduling, communications and general admin tasks that eat up time across our business.
This isn't a role where you wait to be told what to do. You'll spot the gaps, fill them, and make the people around you more effective.
Calendar and scheduling: Manage complex, cross-timezone diaries for senior stakeholders. Protect their time like it's your own.
Communications support: Draft, triage, and organise inboxes across both Gmail and Outlook. Keep things moving without things falling through the cracks.
Research and admin: Handle ad hoc research tasks, document preparation, data entry, and process tracking across Google Workspace and Microsoft 365 depending on the task.
Meeting coordination: Prep agendas, take notes, follow up on actions. Make sure decisions made in meetings actually happen.
Operational support: Help build and maintain systems that keep the team running smoothly as we grow, and use AI tools where needed to save time.
Direct experience supporting C-suite or senior leadership, not just coordinators or middle management. You know how to operate at that level and what it takes to earn that trust.
Proven experience as a VA or Executive Assistant in a scaling tech business, where priorities shift fast and the pace is unrelenting.
Fluent across both Google Workspace and Microsoft 365: Docs, Sheets, Gmail, Drive, Word, Excel, Outlook, Teams. You switch between them without missing a beat.
Exceptional written English. You'll be drafting comms on behalf of senior stakeholders, so precision and tone matter.
Strong organisational instincts. You don't just complete tasks, you build systems so the same problem doesn't happen twice.
Self-directed and comfortable with ambiguity. You take a high-level need and run with it, without waiting to be chased.
Comfortable working primarily on AEST hours, with some flexibility in your day to provide overlap with our US-based CEO when required.
Hands-on experience with AI tools and a habit of reaching for them to work smarter.
Familiarity with tools like Notion, or Linear.
You'll work directly with a senior leadership team building something in one of the fastest-moving spaces in tech.
