About the Role
We are currently seeking a dedicated and detail-oriented Staff Assistant to join our Airport Stations Group within the Client Experience Division. As a Staff Assistant, you'll be the backbone of our station operations, ensuring that management and staff have everything they need to deliver exceptional service to our customers. Key Responsibilities
As an integral member of our team, you will be responsible for a wide range of office and administrative duties that keep our operations flowing seamlessly. Your typical day may include:
- Executive Support: Provide comprehensive assistance in the preparation of management presentations and special projects as required, ensuring all materials are polished and professional.
- Financial Administration: Control, review, and monitor all local requests through our InvoiceWorks system, distributing invoices as needed and maintaining accurate financial records.
- Technology Support: Investigate and escalate office technology issues, including telephone systems and copier machines, working with IT teams to resolve problems quickly.
- New Hire Onboarding: Track and ensure employees complete their onboarding obligations, including appropriate system access, assignment of storage spaces, mailboxes, uniforms, badges, fingerprinting, training, and more.
- Event Coordination: Assist in station event planning, coordination, and execution, including team celebrations, lunch meetings, holiday feasts, and recognition events that boost employee morale.
- Payroll Processing: Handle payroll processing in Workbrain for management and maintenance staff, ensuring accuracy and timeliness in all compensation-related matters.
- Communications: Process deprivation letters and organize local communications and responses, maintaining clear and effective internal messaging.
- Facilities Management: Manage employee parking, including permits and assignments, as required to ensure smooth facility operations.
- Timekeeping Support: Assist with timekeeping functions, including data entry, data verification, reconciliations, and record-keeping to maintain accurate attendance records.
- Record Maintenance: Maintain employee records, updating and organizing information as needed to ensure compliance and accessibility.
- Meeting Coordination: Maintain station meeting schedules, including monthly emergency response meetings and other important gatherings.
- Reporting: Access and manage various periodic reports, including performance, audit, cost, employee engagement, and recognition metrics.
- Documentation: Update required manuals and file and maintain all security-related items in accordance with company policies and regulations.
- Cross-Functional Support: Act as backup for other payroll functions and collaborate with other maintenance staff on various projects as needed.
- Compliance Management: Manage records for OSHA, safety, and related documentation (301's, weekly and annual reports) to ensure regulatory compliance.
- Budget Support: Assist with budget preparation and reconciliation, including monthly closeout of landing fees and other financial activities.
- Audit Support: Support auditing activities as required, working closely with internal and external audit teams.
- Incentive Tracking: Track and verify incentive funds earned by employees, ensuring accurate awarding of performance-based rewards.
- Vendor Liaison: Liaise with CRE/Offices and vendors to track local projects, as needed, maintaining strong working relationships with external partners.
- Team Collaboration: Lead/direct work with other maintenance staff, as needed, to ensure coordinated efforts across the team.
- Additional Duties: Perform other responsibilities as required, adapting to the dynamic needs of our operations.
Qualifications & Requirements
Minimum Requirements
- Education: Bachelor's Degree from an accredited institution
- Experience: Previous office/administrative experience is required
- Technical Skills: Proficiency in Microsoft Office suite, including Word, Excel, PowerPoint, Outlook, and other productivity tools
- Knowledge: Understanding of policies, procedures, and corporate structure
- Attention to Detail: Ability to focus on work, be meticulous, and meet deadlines consistently
- Multitasking: Ability to simultaneously act in a fast-paced environment and handle multiple tasks with grace under pressure
- Initiative: Self-motivated with strong organizational skills and the ability to work independently
- Learning Agility: Ability to understand concepts and functionality of specific software and programs quickly
Preferred Qualifications
- Previous experience in the aviation or transportation industry
- Familiarity with airline operations and customer service environments
- Advanced proficiency in financial systems and payroll software
- Strong communication skills, both written and verbal
- Experience with event planning and coordination
