Job Description

We are looking for a Project Administrator to support our PMO team in delivering projects in a fast-paced digital environment. This is a junior-level role ideal for someone who is eager to build a career in project management within a dynamic full-funnel digital agency.

You will work closely with Project Managers and the Director of Projects to ensure smooth coordination, documentation, and tracking of all active projects. This role is ideal for someone highly organized, detail-oriented, and eager to learn structured project delivery processes.

Roles and Responsibilities:

1. Project Support & Coordination (Plan & Assist)

• Support Project Managers in project planning, scheduling, and resource coordination

• Assist in preparing project documentation, timelines, and basic project plans

• Help gather project requirements from internal teams and clients

• Maintain project files, trackers, and documentation in an organized manner

2. Execution Support (Implement / Monitor)

• Track project progress and update project management tools regularly

• Assist in monitoring deadlines, deliverables, and task completion across teams

• Follow up with internal stakeholders to ensure tasks are progressing as planned

• Support risk and issue tracking by maintaining logs and escalating when needed

• Coordinate meetings, prepare agendas, and document meeting minutes

3. Reporting & Review Support

• Assist in preparing weekly/monthly project status reports

• Compile data on project progress, delays, and resource usage

• Support Project Managers in identifying gaps and project bottlenecks

• Ensure all project updates are accurately reflected in reporting dashboards

4. Process & PMO Support (Growth / Improvement)

• Support standardization of project management templates and processes

• Help maintain consistency in project documentation across teams

• Identify basic improvement opportunities in workflows and coordination

Key Requirements:

• 2years of experience in project coordination, project administration, or similar support roles

• Strong organizational and multitasking skills

• Good communication skills (written and verbal)

• Detail-oriented with ability to follow structured processes

• Comfortable working in a fast-paced and evolving environment

• Basic understanding of project management concepts is an advantage

• Proficiency in Microsoft Excel and/or Google Sheets

Good to Have

• Exposure to digital agencies, IT projects, or marketing operations

• Familiarity with project tools (e.g., Asana, Trello, Jira, Monday.com)

• Diploma or Degree in Business, IT, Communications, or related fields

• Interest in pursuing a long-term career in Project Management or PMO
