ACCOUNTS ADMINISTRATOR / BOOKKEEPER (PART-TIME)


ROLE OVERVIEW


We are looking for a part-time Accounts Administrator / Bookkeeper to support the day-to-day financial operations across our Bristol and Gloucester centres. This role focuses on accurate, timely processing of financial data, ensuring that all transactions, invoices, and records are maintained correctly within Xero. It is a process-driven role, ideal for someone experienced with Xero who can work efficiently, maintain consistency, and take ownership of routine financial administration. This is not a strategic finance role, but a hands-on position focused on bookkeeping, reconciliation, and financial organisation.


KEY RESPONSIBILITIES


Sales & Invoicing

 Raise and send customer invoices promptly and accurately
 Monitor outstanding invoices and support credit control
 Respond to queries via the accounts inbox


Xero & Reconciliation

 Reconcile all bank transactions within Xero
 Assign income and expenditure to the correct customer / supplier accounts
 Maintain clean, accurate, and up-to-date financial records


Purchasing & Payments

 Process supplier invoices and maintain purchase records
 Schedule and complete supplier payments
 Ensure all costs are correctly allocated


Payroll & Expenses

 Support processing of wages (or liaise with payroll provider)
 Manage staff expenses and company card transactions
 Ensure all entries are recorded accurately in Xero


VAT & Compliance

 Prepare and submit VAT returns (or prepare for accountant review)
 Maintain records in line with HMRC requirements
 Ensure all documentation is complete and audit-ready


SYSTEMS & TOOLS

 Xero (essential)
 Outlook / email management
 Internal systems for job tracking and invoicing


WHAT WE’RE LOOKING FOR


 Proven experience using Xero (essential)
 Experience in bookkeeping or accounts administration
 Strong attention to detail and accuracy
 Organised and process-driven approach
 Ability to work independently and manage workload
 Clear and professional written communication


WORKING STRUCTURE


 Part-time role (typically 15–25 hours per week depending on workload)
 Flexible working, with responsibility for maintaining deadlines
 Remote or hybrid working possible


WHAT SUCCESS LOOKS LIKE


 All transactions reconciled accurately and on time
 Clean, organised Xero account with no backlog
 Invoices sent promptly and correctly
 VAT returns submitted without issues
 Suppliers and staff paid on time
 Minimal errors and no need for rework
